Events and Sponsorships Coordinator

Job Description:
The Events and Sponsorships Coordinator will assist and provide support to various Ice Miller events, sponsorships and other business development/client relationship activities originating from Ice Miller’s various offices. The employee must be capable of working in a fast-paced environment with time-sensitive materials and maintain strict confidentiality due to the nature of the position. 
 
Essential Job Duties: 
•Assist the Firm’s Event and Sponsorships Manager with the logistical planning of Firm originated events such as seminars, webinars, breakfasts, lunches, dinners and receptions. This would include assisting with venue research, menu selection, day-of on-site point of contact, including greeting and directing attendees/participants, and reconciling expenses afterwards.
•Create and distribute event invitations and RSVP monitoring. Be the point person for questions regarding registration and event details. 
•Provide administrative support related to sponsorships as needed. This would include filing executed sponsorship agreements, processing payment, as well as the execution of the various deliverables included with the sponsorship. 
•Work with Firm attorneys and staff to maximize the effectiveness of events and sponsorships by assisting with appropriate follow-up.
•Provide assistance for our Indiana-based suites by distributing tickets, placing catering orders, processing invoices, etc. 
•Be knowledgeable about venue options.
•Utilize the Firm’s Customer Relationship Management (CRM) database, InterAction, to support event and sponsorship efforts. 
 
Minimum Requirements:
•Bachelor's Degree in Marketing or related field required
•3+ years of event planning experience 
•Strong proficiency in Microsoft Office
•Ability to travel and attend events that may be held outside of normal business hours and/or in other cities.
•Strong project coordination and organizational skills with ability to meet deadlines
•Demonstrated team player and ability to multi-task
•Maintain high initiative and be a self-starter
•Exceptional communication skills, both written and verbal
